Event Planning Guidelines
We pride ourselves in being able to meet everyone’s catering needs. The following steps will help you through the process of organizing your special function.

Arranging and Reserving a Date
Contact the Catering Office at 831-582-5084 or 831-582-5029 at least 15 days before your event if to ensure that we will be able to meet your request. For events with 100 guests or more, please contact the Catering Manager, Michelle V. Baylacq at, least one month before your event. Email the Catering Office at or stop by our office located in the University Center, Building 29. The office hours are Monday through Friday, 9:00 am- 5:00 pm, closed on holidays.

Reserving a Location
To reserve a room for an event, please contact Conference and Events at 831-582-5198. Also may want to list rooms that are available for catered events. Whether the event is to take place on campus or off, the location reservation needs to be confirmed 72 hours before the event. Tables, chairs, and other equipment will need to be arranged by you through Conference and Events at 831-582-5198. When making the reservation, please include tables, chairs and trash cans needed.

Event Confirmation and Guarantees
In arranging for a catering event, the final attendance MUST be received by the Catering Office no later than 11:00am, (3) working days prior to the commencement of the function. This confirmation and guarantee will include the exact times, location, attendance, menu choices and room setup. This number will be considered a guarantee, not to subject to reduction and charges will be made accordingly.

Please provide the guarantees on the following days:
Saturday, Sunday & Monday = Wednesday
Tuesday = Thursday
Wednesday = Friday
Thursday = Monday
Friday = Tuesday
Sodexo will be prepared to serve 5% more than the guaranteed number of attendees and cannot be responsible for service to more than 5% over the guarantee for groups of up to 1,000. For groups more than 1,000, a maximum of 30-person overset will apply. If the guarantee is raised within the 72 hours, the 5% overset will not apply and the guarantee then becomes the set and there be will additional charges.

Sodexo, the University or Client may cancel this contract without cause at any time by paying to the other party liquidated damages (agreed not to constitute a penalty) based on the following scale.
Less than (3) days from the event date…...50%
Less than (1) day from the event date..…..100%
Cancellations made under this provision shall be made by the cancelling party to the non-cancelling party by written notice and payment of liquidated damages due at that time. If CSUMB is closed due to inclement weather, all catering events will be automatically cancelled.

A form of payment is required to process your order, prior to your event date. A 75% deposit is required for 3rd party catering events and 25% payment on the day of the event. Please make a payment of your invoice within 15 days of receipt. Visa, MasterCard, American Express, Cash, Check, Purchase Orders, Departmental Accounts, Foundation Account numbers are all valid payment methods. The estimated charges for your event will be due 10 working days prior to your scheduled function. Tax exempt organizations are required to submit a copy of their exemption certificate prior to their date.

All federal and local taxes which may be imposed or be applicable to this agreement and to the service rendered by the Hotel are in addition to the prices herein agreed upon, and the Customer agrees to pay them.

Alcohol Policy
All alcoholic beverages must be served by our personnel, and consumed in designated areas. Proof of age will be required. SODEXO reserves the right to refuse service of alcoholic beverages to any person. A corkage fee of $10.00/bottle will be charge when you bring your own bottle of wine to a Catering Event. This do not apply to the Campus Premier Wine Sponsor.

Alcohol Service Policy
A beer and wine setup fee for dinner and reception is $75.00/person. All necessary bar items except the alcohol, are provided with this charge, including ice, napkins and glassware. The charge for a bartender is $18.00/hour, minimum of 3 hours. A beer and wine station set up fee is $75.00/station. A charge for a server is $18.00, minimum of 3 hours.

(1) Bartender and a Bar-back per 100 guests (Beer/Wine/Non-Alcoholic Beverage Station)

To ensure that your event is a success, catering staff will be provided for all served meals and buffets during the first two hours of service. If additional time is needed, a fee of $18.00/hour per attendant with 3 hour minimum will be applied. If you need extra attendants, there will be a fee of $18.00/hour per attendant for catering and $25.00/hour per attendant for High-end Catering Events.
Catering To Go: No Attendant Needed
Plated Casual Catering: (1) wait staff per 20
Plated Business Catering: (1) wait staff per 15
Plated Presidential Catering: (1) wait staff per 10
Standard Buffet
- (2) Wait staff for 40-75 guests
- (3) Wait staff for 75-150 guests
- (4) Wait staff for 150-275 guests
- (6) Wait staff for 275-300 guests Standard Reception
- (2) Servers per 100 guests for passed
- (1) Server per 75 guests for stationary style. $25.00/hour with 3 hours minimum for Station Attendants.

As the host of the catered event, you are responsible for the equipment we have provided for the service of your catered event. Any missing or damaged catering equipment or supplies will be charged to your account, at replacement costs. In the occurrence of a very large event, specialty equipment may need to be rented. We can provide this for you at an additional charge.

China Charges
Our catering department provides high-quality plastic products as our standard, unless otherwise requested. We also offer china service for any event at an additional charge.
Full Meal Service and Silverware (without wine glasses) $4.50 per person
Coffee or Beverage China Service $1.50 per person
Reception China and Silverware $2.50 per person
Full Meal Service Rental (Rented china equipment) $12.00 per person

Floral Charges
We will be happy to order, receive and handle specific floral arrangements for you. For decorative requests an additional fee will be determined in accordance with your specific needs.

Linens and Skirting
We will provide linens and skirting for food and beverage tables at no charge. If you would like linen to be placed on guests’ tables for receptions, breaks, meeting tables and boxed lunches there will be a $5.50 fee for each tablecloth. Other tables may be skirted and covered at $5.50 per tablecloth and $8.00 per skirt. The same applies to registration tables, name tag, head tables, and any additional table that will not be directly used for setup. Skirting can be done on any table not exceeding one inch in thickness. We can also provide napkins to meet your color scheme for $0.50 each. Specialty linens are available upon request with an additional charge. We will provide attendants for draping and skirting tables when linens are rented thru Sodexo catering. We can provide attendants to drape and skirt tables and fold napkins when linens are not ordered thru Sodexo Catering for additional charge or $18.00/ hour per attendant. Sodexo Catering will not be responsible for linens, skirts, napkins and any other equipment that were not rented thru Sodexo Catering.

Late and Minimum Charges
A late charge of $25.00 will be assessed for any event booked with less than 72 hours notice. Arrangements for orders less than the minimum amount can be made if they are picked up during office hours

Service Charge/Gratuities
An 18% Service Charge/Gratuity is added to all food and beverage for 3rd party catering and applicable taxes shall be added to all food and beverage.

Food Removal Policy
Due to health and safety regulations, it is the policy of Sodexo Catering that excess food items from events cannot be removed from the event site. Sodexo will remove the food items after (2) hours of the delivery time. Items purchased for pick up should be properly stored prior to the event and removed and disposed of by the host of the event.

Food and Beverage
No food and beverage of any kind may be brought into the function by the customer or any of the customer’s invitees or guests. If you have any questions, please contact the Catering office.
